Most 'best software for architects' lists compare marketing pages. This one compares the five things that actually determine whether a tool fits an architecture practice โ and is honest about which practices we're the wrong answer for.
Search for practice management software and you will find a dozen listicles that compare marketing pages. They rank tools by how many features are named on a website, which is a measure of copywriting rather than of fit.
An architecture practice does not fail to adopt software because it has too few features. It fails because the software was shaped around a different business โ a contractor's, a consultancy's, a generic project team's โ and the mismatch shows up three months in, when the workarounds outnumber the workflows.
So this comparison is organised around the five questions that actually decide it. If a tool answers all five the way your practice works, it will probably stick. If it fails two of them, no amount of feature count will rescue it.
The five questions
- 1Does it know what a drawing revision is? Not file version history โ a revision with an issue date, a recipient list, a reason, and a supersede relationship to the one before it.
- 2Can it produce a bill of quantities, or does it merely store one somebody built in Excel?
- 3Can a client see their project without seeing your costs โ and does their approval leave a record you could produce in a dispute?
- 4Does it match how you charge? Stage-based percentage fees and hourly billing need genuinely different machinery.
- 5Can the site enter data from a phone, or does everything have to be typed up back at the office?
The categories, and who they are really for
1. Time-and-billing practice tools
This category is built around the billable hour: timesheets, utilisation, realisation rates, resource forecasting. It is mature, well designed, and the natural fit for practices โ predominantly in the US and UK โ that bill time and hand construction administration to somebody else.
The blind spot is everything downstream of design. If your fee is a percentage of construction cost released against stages, you are buying a timesheet engine to use its project list. Represented by Monograph and BQE Core.
2. Enterprise professional-services suites
Genuinely powerful, genuinely complete, and shaped for a firm with hundreds of staff and an IT function to run the implementation. The economics assume a long deployment and a consultant.
For an eight-person studio this is the classic expensive mistake: a six-month rollout that ends with 15% of the product in use and nobody willing to admit it. Represented by Deltek's professional-services line.
3. Project information management
Document control, transmittals, drawing registers, RFI tracking. Excellent at exactly that, and often the right answer for large projects with heavy correspondence โ but it is not where your fee, your payroll or your BOQ lives. Represented by Newforma.
4. Construction ERPs
Built around the contractor's centre of gravity: procurement at scale, plant, labour, progress claims, subcontractor management. A practice that supervises construction will recognise a lot of it and still find that the design half โ sets, revisions, stage fees โ is an afterthought.
5. Generic project tools
Asana, Trello, Monday, Notion, ClickUp. Flexible, cheap, universally understood, and used by more architecture practices than any purpose-built tool. They have no concept of a drawing, so studios model one with cards and custom fields โ which works beautifully until the person who designed the board leaves.
6. Architecture practice operating systems
The smallest category: tools that carry design and construction administration in one system, on the assumption that the architect does both. This is where Ofivio sits, and it exists because that assumption is normal across South Asia and the Gulf and rare in the software written for North America.

Where Ofivio is the wrong choice

- You need CAD or BIM. Ofivio manages drawings; it does not draft, model or render. AutoCAD, Revit, ArchiCAD and SketchUp keep their jobs.
- You are a 200-person multi-office firm with an established ERP and a finance team built around it. The migration cost will exceed the benefit.
- You need deep structural or energy analysis. Different category entirely.
How to actually choose
Ignore the feature matrix, including ours. Take one live project and run one real stage through the trial: issue a drawing revision, get a client approval on it, and raise one invoice against a completed milestone.
